Cryptshare®

Your options for encrypted electronic communication with the Idar-Oberstein city administration.

If you send us an e-mail, you must be aware that the content is not protected. E-mails can be read or even falsified by third parties. With the Cryptshare® application, which is free of charge for our communication partners, e-mails can now be sent in encrypted form, including attachments (applications, forms, etc.).

For legally binding electronic communication, please continue to use our virtual mailroom(Imprint / Electronic communication).

  • How it works

    To use Cryptshare®, please use your e-mail address. The e-mail text including its attachments is securely transmitted to the Cryptshare® server and stored there in encrypted form.
    The recipient you have selected will automatically receive a notification e-mail with a link to retrieve the information provided. This procedure ensures that communication from the sender to the recipient is encrypted throughout.
    Although the use of Cryptshare® is largely self-explanatory, please read the following instructions carefully. At www.cryptshare.de you will also find extensive video material and a wiki that covers any questions that may arise.
    The Idar-Oberstein city administration cannot provide you with technical support.

  • Guide to using Cryptshare® on the web server

    You can access the Cryptshare® web application via the link below in the next step.
    Important: During the initial setup, the user is verified via their e-mail address. This verification is valid for a maximum of 30 days and is automatically extended after each use.
    After this time has expired, the system requires a new verification the next time you log in. A new verification is also required if the e-mail address changes.
    A password must be assigned for the data transfer; you can also have the system generate a password. If you assign a password yourself, it must be at least:

    • 10 characters
    • a capital letter
    • a special character
    • and a number.
  • Notes for the shipper

    1. providing files
    Use a web browser to access the transfer portal https://cryptshare.idar-oberstein.de.
    Click on "Provide". Then enter your contact details and click on "Next".
    Note: When using Cryptshare® for the first time, you will be asked to verify your e-mail address. You will receive this verification code by entering your e-mail address. The code will be sent to your e-mail address and is valid for 30 days. Enter it under "Verification" and click on "Verify".

    2. recipient e-mail address
    Here you can enter the recipient's e-mail address as you would for an e-mail. You can also enter several recipients. Separate different e-mail addresses with a comma or a space. Click on "Next".

    3. add confidential message and files
    Confidential message:
    Click on"Add" to open a window, enter your message and click on"Save".
    Note: No special characters or umlauts are accepted in the subject line.
    Add file:
    Click on"Browse" to open a window in which you can search your PC for files and add them or insert them using drag & drop. Once you have added the files, click on "Next".

    4. transfer options
    The transfer can be retrieved for a maximum of 15 days by default; you can change the expiration date and thus set a shorter retention period.
    Under "Notification options" you can be notified about the delivery and retrieval of the file transfer.
    Finally, assign a password for the transfer.
    Note: Share the assigned password with the recipient, otherwise they will not have access to your encrypted e-mail.
    (Ideally, do not use e-mail for this notification, but telephone, fax or text message).

    5. recipient notification
    Before you start the transfer, you will see the standard message notifying the recipient of your file transfer.
    Click on "Start transfer".

    6. the files are uploaded
    Once you have started the file transfer, your files are securely transferred to the Cryptshare® server and stored there in encrypted form. After all files have been uploaded, you will see all details of the file transfer again in an overview.
    Note: This window (overview) is also displayed while the file transfer is still being encrypted on the Cryptshare® server. This may take a moment for larger files. During this time, no further action can be performed in the window. However, you can close it.
    Once the encryption is complete, you can perform another file transfer. To do this, click on "Start new transfer". When you are finished, you can close this window. Finally, you will receive an e-mail notifying you that the recipients you have entered have been informed about the available files.

  • Notes for the recipient

    1. recipient notification
    As the recipient of a Cryptshare® file transfer, you will receive a notification email. This contains the sender's details and a link to retrieve the files. To retrieve the files, click on the "Retrieve files" link in the email.

    2. retrieve transfer
    A web interface appears in which the transfer ID is already entered automatically. The sender must have given you a password. Enter it under "Password". Click on "Next".
    You can now save all files together as a ZIP archive with one click or open the files individually by clicking on the file name. Click on the pop-up element to display more detailed information about the file transfer. If the sender has activated the "Retrieve transfer" option, they will be automatically notified by e-mail when the files are retrieved.
